Tuvoli - Closing and Invoicing Trips - Sentient Operators

The purpose of this article is to walk the operator through the process of closing and submitting a trip invoice to Sentient.  As noted in the below article, flight times need to be entered/confirmed prior to closing the trip and submitting the invoice.

Please note:  For Sentient trips that are "hard quotes", flight times need to be entered for live legs only.  All other trips, are based on actuals and will need to have all flight times entered.

 

1.  From the waffle menu located in the top right-hand corner of your screen, click on "Booked Trips".

2.  Recent trips will appear on-screen.  You may also adjust the Start Date and End Date fields to expand your search.  Additionally, you may search By Trip Status, Tail or Trip number.

3.  Locate the desired trip from the generated results list and click on the "Flight Times" button for that trip.     

4.  A separate window will open displaying all of the trip's legs in addition to any flight times that may have already been entered.  Review the trip leg information to ensure accuracy.  You are able to enter and/or adjust any of the Flight Times by simply clicking in the desired field.  All entries are automatically saved.  You will notice that green vertical lines will display at the end of the rows where changes have been made.  Please note that once you have entered all of the flight times for a given leg, the total flight time for that leg will display on the right side of the row.​

5.  Once all of your Flight Times have been entered, click on the Close Window button.  You will return to the Booked Trips page. 

6.  To close the trip and generate the trip invoice, simply click on the Details button for the trip.

7.  When the trips details window displays, click on the Close Trip button.  This will close the trip and the invoice will be generated for your review.

8.  When the trip invoice displays, if adjustments need to be made to the trip amount (either positive or negative), enter the amount in the appropriate field in the Adjustment Amount column.  Please note that comments need be entered in the Notes field at the bottom of the screen for any adjustments that are made to the invoice.  When finished, click the "Submit" button at the bottom of the window.  The trip invoice will automatically be submitted to Sentient for payment.

9 Please keep in mind that in order to be paid for trip expenses, an expense invoice will have to be created and submitted separate from the expense invoice.  If you need to submit a separate expense invoice, feel free to click on the link below for step-by-step instructions.
